How to Find and Choose a Sending Organization (Part 1)

In order to do technical intern training in Japan, you must find and select a Sending Organization and apply. Depending on your home country, the cost and content of Japanese language education varies greatly among sending organizations. You may be able to significantly reduce the cost of coming to Japan by simply looking for and choosing your own sending organization, rather than relying solely on referral from relatives and acquaintances. This article will introduce how to find and select a sending organization so that you can gather information on your own.

Points to Consider when Selecting a Sending Organization

Check the following points when hearing from senior people and searching information on the Internet (reviews and experience stories). Be sure to visit more than one sending organization and compare them yourself.

1. Is the sending organization demanding low fees?

  • Sending organizations demanding low fees are paying less gratuity.
  • Regardless of the low fees, such organizations can also introduce you to good hosting companies.

*Let’s take a look at what our former trainees have paid.

For example, in many cases in Vietnam, the sending organization pays a gratuity of 1,000 to 1,500 USD to the union (supervisory organization) for each job offer for technical intern trainee.  Gratuity amount is added to the fees paid by trainee to the sending organization.  So, let’s gather information on what our seniors have paid to the sending organizations and compare the costs. 

2. What is the content of Japanese language education?

Visit a sending organization and observe its Japanese language class.

  • Do not select a sending organization that does not allow you to visit and observe.
  • It is preferable to have no more than a dozen students per classroom.
  • Please beware that some sending organizations only offer classes for a few weeks each before the interview and before travelling to Japan.
  • It is easier to integrate yourself into the workplace and improve your Japanese quickly if you learn Japanese to some extent before coming to Japan. It is also useful when finding a job after the technical intern training. 

3. Decide first on the company or union you will actually work for.

In addition to salary and job description, various benefits (dormitory fees, utilities, work atmosphere, overtime work, etc.) and support offered by the union are also very important.  Whether or not the union is sympathetic to the concerns and frustrations of trainees will make a big difference in their practical training life. 

Instead of choosing the sending organization first, you can also look for the Japanese company or union you want to work for first.
If you find a good company or union through your seniors or the Internet, you can approach them by following these steps:

  • Contact the sending organization used by your seniors and ask them to introduce you to the same union or company as your seniors.
  • Send e-mail to the Japanese union used by seniors ? The union contacts the sending organization to set up interviews, etc.

Technical Intern Training System – Brief Explanation –

Do you know the most common status of residence among foreigners (other than permanent residents) working in Japan? They are technical intern trainees (as of the end of June 2021). There are many foreigners who have succeeded in the technical intern training program, but there are also foreigners who pay unjustified fees or are treated unfairly by the company where they received their training. You should apply after you are well aware of the system of technical intern training.

4. Check if the company name is changed frequently.

In some cases, companies that are no longer able to continue as sending agencies because of their illegal operations change their names and continue their business. You should not select such sending organizations.

5. Check if the company is conducting business on its own.

Some sending organizations lend the company’s name to other sending organizations to receive commissions, but do not perform the work by themselves. Avoid sending organizations that lend or borrow their names. Beware if you see several nameplates of sending organizations on a single building. In some cases, signs and name plates are replaced depending on the visitors.
